POSITION DESCRIPTION
Position: Bilingual (English-Mandarin) Immigration Assistant
Department: Immigration
Position Reports to: Paul Hesse, Partner and Immigration Practice Lead
Hours: 35 hours per week


POSITION SUMMARY
Pitblado Law is looking for a dynamic individual to join the Firm in a new Bilingual (English-Mandarin) Immigration Assistant position. Under general supervision and according to established policies and procedures, working with the Immigration Practice Lead, you will provide bilingual (English/Mandarin) administrative support for the growing Immigration Practice at Pitblado Law. The Immigration Assistant is responsible for a wide variety of administrative duties within the law practice, under the supervision of the Immigration Practice Lead/Immigration Practice Lead. This includes the preparation of documents and correspondence, maintaining information databases, responding to inquiries, and assisting with event planning. Interacting with clients at Immigration Practice Lead’s request and on own initiative concerning matters requiring explanation, discussion, interpretation or approval.
Acts as an intermediary between the Immigration Practice Lead and the Firm’s Mandarin speaking clients/potential clients, including translating written material (correspondence, documents email communications, etc.) including interpreting for meetings, instructions, and telephone calls. Provides assistance with growing and maintaining client relationships, business development and marketing initiatives, including attending events and providing Mandarin/ English interpretation.


MAJOR DUTIES AND RESPONSIBILITIES
1. Liaises with the Immigration practice lead on a daily basis, providing supportive duties pertaining to drafting client communication, organization and delivery of files, liaising directly with clients (in English and Mandarin as appropriate).
2. Provide clerical and general administrative support to the Immigration Practice Lead.
3. Correspondence, documents, memoranda and project work in the daily production of documents. Edits and finalizes documents, memoranda and letters.
4. Composes routine correspondence as required, memos and routine documents on a regular basis, for Immigration Practice Lead’s review. Reviews work for spelling grammatical consistency, general accuracy, proper format and uniformity of material being produced.
5. Acts as an interpreter between Mandarin speaking clients and the Immigration Practice Lead and translates written communications.
6. Opens new files and maintains client and general files. Ensures conflicts are brought to the Immigration Practice Lead’s attention. Responsible for organizing and sending all closed files intended to be stored to the Site Services/File Maintenance Clerk.
7. Inputs Immigration Practice Lead’s time entries into Webview ensuring accuracy of input.
8. Facilitates client billing under the direction of the Immigration Practice Lead.
9. May carry out administrate processes and draft documents for the Immigration Practice Lead’s review.
10. Conducts research as directed by Immigration Practice Lead or on own initiative.
11. Presents a positive and professional image of the law firm to all visitors, clients, agencies, and other parties.
12. Handles incoming and outgoing mail, deliveries, facsimiles and emails. Ensures outgoing mail, deliveries, facsimiles and emails are processed on a timely basis several times per day. Ensures time sensitive correspondence, memoranda and documents are brought to the Immigration Practice Lead’s attention on a timely basis.
13. Assist Immigration Practice Lead with production of marketing materials and assembling materials for Mandarin client meetings/prospect meetings.
14. Coordinates meetings and appointments for Immigration Practice Lead and clients including conference room scheduling and preparation of materials.
15. Maintains a bring-forward system and follows up on requests made by Immigration Practice Lead, and clients.
16. Representing the Firm at related community events including assisting the Marketing Department with the organization of practice area (Mandarin) events logistics, event planning, distribution of invitations, tracking registrations, Immigration Practice Lead’s presentation material preparation, and on-site coordinator of events and/or webinars as required.
17. Maintain the Practice Area CRM: general data entry, maintain the firm contact database, and data entry of prospecting activities.
18. Field Mandarin inquiries both online and by phone and manage all Mandarin language inquiries and leads in a time efficient manner.
19. Online information: Working with the immigration practice lead, develop content updates for both pitblado.com and pitblado.cn (Chinese website), and social media (Twitter, LinkedIn, WeChat, Weibo). Post updates as required. Proactively recommend items for publication. Proactively monitor the Chinese website for dated content.

20. Other duties as assigned.


KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
1. Must be able to speak, read, and write Mandarin and English fluently.
2. Completed post-secondary education and a minimum of 2 years administrative experience in a professional environment.
3. Ability to accurately transcribe legal documents, correspondence and reports from rough draft, dictation or verbal instruction at a level of 60 wpm.
4. Excellent attention to detail and quality and exceptional proofreading skills.
5. Excellent written and verbal communication skills, including relationship building with clients, Immigration Practice Lead, staff, and community contacts. Excellent command of grammar and spelling in Mandarin is essential. Experience writing for internal and external audiences preferred.
6. Maintain a positive and proactive contact with Immigration Practice Lead, clients, and the Chinese community, and observes strict confidentiality of client and firm matters.
7. Ability to prioritize a heavy workload, handle changing responsibilities and meet deadlines.
8. High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe programs. Experience with CRM software and social media platforms for business is an asset.
9. Strong administrative skills with the ability to plan, implement, and develop effective processes.
10. Ability to complete assignments with minimal supervision and/or direction, displays initiative and possesses strong problem solving skills required.
11. Proven ability to organize, prioritize and coordinate multiple tasks and complete them under tight time constraints. Ability to track and report activities and maintain a bring-forward system.
12. Work occasionally requires more than 35 hours per week to perform the essential duties of the position. Flexibility in daily work schedule around breaks and lunch period may be required.
